2. Data processed, purpose, legal basis and duration

2.1. Registration

Data: the first and last name, e-mail address, phone number and password (stored encrypted) of the contact person; the billing data: name or company name, country, postal code, city, address, and for companies the tax number and EU VAT number; the chosen language of the website and of the invoice.

Purpose: creating the user account and providing the service.

Legal basis: for private persons, the performance of the contract (Article 6 (1) (b) GDPR); for registrations on behalf of a company, the data of the company's contact person are processed on the basis of the legitimate interest of eGov Ltd. in establishing and maintaining the business relationship with the ordering company (Article 6 (1) (f) GDPR).

Duration: until the account is closed.

2.2. Orders and delivery

Data: the data of the ordered document (company, document type, language, format) and the time of the order; for paper orders, the delivery name, address and phone number.

Purpose: fulfilling the order: electronic documents are sent by e-mail and stored in the account, paper documents are delivered by courier.

Legal basis: the performance of the contract (Article 6 (1) (b) GDPR).

Duration: until the account is closed; data related to the invoice are kept as described in section 2.3.

2.3. Invoicing

Data: the data on the invoice (name or company name, billing address, tax number, EU VAT number, the service and the amount).

Purpose: issuing the invoice and meeting accounting and tax obligations, including reporting the invoice data to the online invoice system of the Hungarian Tax Authority (NAV).

Legal basis: compliance with a legal obligation (Article 6 (1) (c) GDPR).

Duration: 8 years, as required by the accounting rules.

2.4. Card payment

Payment takes place on the payment page of CIB Bank Zrt. The card data are processed exclusively by CIB Bank; we have no access to them. The bank receives the amount payable and the transaction ID from us, and we receive the result and ID of the transaction from the bank.

Legal basis: the performance of the contract (Article 6 (1) (b) GDPR). Duration: the transaction data are kept together with the invoice for 8 years.

2.5. Search and download log

Data: the time of searches, logins and downloads and the IP address of the visitor.

Purpose: the secure operation of the service and the prevention of abuse (e.g. mass automated queries, password guessing).

Legal basis: the legitimate interest of eGov Ltd. (Article 6 (1) (f) GDPR).

Duration: the IP address is deleted after 14 days.

2.6. Form protection (Google reCAPTCHA)

The public forms (search, registration, login, password reset, complaint) are protected against automated abuse by the Google reCAPTCHA service. For this, the browser sends Google the IP address, technical data about the browser and device, and data about interactions on the page.

2.7. Cookies

Cookies are small text files that the website stores in the browser. The website uses only cookies necessary for its operation; we do not use analytics, advertising or social media cookies, and we do not track visitors' behaviour.

The necessary cookies serve the session (login, chosen language, order status), the protection of forms (CSRF protection and Google reCAPTCHA), the "stay logged in" function and the storage of cookie consent. Search, login and ordering would not work without them, so their legal basis is the legitimate interest in providing the service (Article 6 (1) (f) GDPR). Session cookies are deleted when the browser is closed, the "stay logged in" cookie is kept for 30 days, and the consent record for up to 12 months.

Cookies are managed by the integrated Cookiebot service. By clicking the Cookiebot icon in the bottom left corner of the website, you can see the exact list of cookies used by the website, their purpose and lifetime at any time, and change or withdraw your consent.

2.8. Customer service and complaints

Data: the data given in the message or complaint, and the order ID.

Purpose: answering and investigating questions and complaints.

Legal basis: the performance of the contract (Article 6 (1) (b) GDPR); for consumer complaints, compliance with a legal obligation (Article 6 (1) (c) GDPR).

Duration: until the question or complaint is closed, or for the period required by law.

3. Processors

• Usercentrics A/S (Cookiebot; Havneholmen 25, 1561 Copenhagen, Denmark) - management of cookie consent.

4. Recipients

We transfer personal data to the following recipients for the stated purposes:

• CIB Bank Zrt. - processing card payments (section 2.4);
• DHL Express Magyarország Kft. - for paper orders, the name, address and phone number needed for delivery;
• Hungarian Tax Authority (NAV) - reporting invoice data as required by law;
• authorities and courts - in cases required by law, at their request.

5. Your rights

During the processing, you have the following rights under the GDPR:

• access to your personal data and to information about the processing;
• rectification of inaccurate data;
• erasure of your data (right to be forgotten), if they are no longer needed and their retention is not required by law;
• restriction of processing;
• data portability (receiving the data you provided in a machine-readable format);
• objection to processing based on legitimate interest;
• withdrawal of consent, where processing is based on consent.

You can submit your request to finance@companyregister.hu. To fulfil the request we need to identify you, using only data we already process. We respond within one month at the latest. You can also modify your data yourself in your account.

6. Remedies

If you believe that your data are processed unlawfully, you can lodge a complaint with the Hungarian National Authority for Data Protection and Freedom of Information (NAIH; H-1055 Budapest, Falk Miksa utca 9-11.; postal address: H-1363 Budapest, Pf. 9.; phone: +36 1 391 1400; e-mail: ugyfelszolgalat@naih.hu; website: https://naih.hu), or turn to the courts. We recommend contacting us first.

7. Data security

In operating our IT systems, we use the necessary access control, organisational and technical measures to ensure that data do not fall into the hands of unauthorised persons and cannot be deleted or modified by them. Passwords are stored encrypted, and the website is available over an encrypted (HTTPS) connection. We keep a record of any personal data breaches and inform you where necessary.

8. Changes to this statement

We reserve the right to amend this statement in ways that do not affect the purpose and legal basis of the processing. Before starting processing for a new purpose, we will inform you in advance.
